A government-affiliated administrative operation responsible for maintaining essential daily services across a multi-building campus approached Kronix Energy to replace an informal, reactive LPG procurement arrangement with a structured, accountable supply programme. The institution required certainty of supply, compliant handling at every delivery point, and documented handover trails capable of satisfying public-sector audit requirements.
Specification Challenge
Public-sector supply engagements carry a specific discipline demand that distinguishes them from commercial accounts. Every delivery must be traceable. From this assessment, a scheduled delivery programme was constructed — defining delivery windows, quantities per consumption point, handling protocols at each access configuration, and the documentation format required at handover. Each delivery generates a signed delivery record with batch reference, quantity confirmed at point of receipt, and a safety declaration signed by the attending logistics specialist.
A demand-smoothing review was embedded into the programme at regular intervals, allowing the scheduled volumes to be adjusted before shortfalls materialise rather than after. This forward-looking cadence replaces reactive emergency procurement with planned supply assurance.
All supply activity is conducted in compliance with applicable HSE standards governing LPG handling, storage, and distribution in Ghana — with Kronix Energy’s logistics team trained and documented accordingly.
Outcome
The institution transitioned from an informal, gap-prone procurement arrangement to a fully documented, audit-ready supply programme within a short mobilisation period. Delivery records are archived in a format directly compatible with the institution’s procurement audit trail. Supply gaps — previously a recurring operational disruption — have been eliminated through the scheduled and demand-reviewed programme structure.
The facilities management team reported a material reduction in the administrative burden previously associated with LPG procurement, with Kronix Energy’s documentation framework replacing ad hoc record-keeping.
